Corporate Event Flowers in Bangkok: Stage, Table and VIP Gifting
Plan corporate event flowers in Bangkok: four placements, stem counts for a hotel ballroom, Thai gift etiquette, loading docks and a four-week timeline.

You have a date, a hotel ballroom and a guest list, and someone has asked who is doing the flowers. This guide covers corporate event flowers for a single evening or day in Bangkok: where the flowers go, how many stems a room needs, how to hand a bouquet to a senior guest, and what to tell the hotel's banquet team so nothing is stuck at the loading dock at 4 pm.
It is written for planners, agency producers and corporate admins who run an event once and need it to look considered. It also tells you what an event florist in Bangkok needs from you, and when, so the quote comes back accurate the first time. If the event is an in-house launch, farewell or year-end party rather than a hotel production, office party flowers is the better starting point.
Corporate event flowers: one-off events versus standing contracts
A one-off event has a start, an end and a clear-down. The flowers arrive on the day, are judged over about four hours, and are removed or given away that night. Nothing needs to look good on Thursday. So you can choose flowers for impact over vase life, pay for one delivery rather than a service visit, and put your effort into colour and placement.
A standing contract is the opposite: flowers must survive a week in a cold lobby, someone tops up water and swaps tired stems, and the supplier is judged over months. Our corporate and hotels page describes those weekly contracts; we cover how they work in how Bangkok hotel flower contracts are priced and run and, for the buying side, in choosing a corporate flower supplier in Bangkok.
Decide early who owns what. Floral walls, hanging structures and large stage builds belong to an event decorator. Hand-tied bouquets, VIP gifts, welcome bouquets and table arrangements are florist work. If your brief mixes both, send it to us on LINE or WhatsApp and we will say plainly which parts suit us and which need a decorator.
The four placements: entrance, stage, table and VIP gift
Each placement has a different audience and viewing distance, so brief them separately.
Entrance and registration
This is where every guest passes and most photographs are taken, and it competes with signage and a queue. Keep the arrangement to the side of the flow. A tall piece on a plinth beside the desk reads from ten metres; a low one on the desk gets knocked by lanyards. Delegates are holding coffee and badges, so conference flowers here should be compact and unscented.
Stage and lectern
Stage flowers are for the camera and the back row. Keep them below the sightline from a seated guest to the speaker's face, flank the stage at the edges, and keep the lectern to a small low posy or nothing. Lighting matters: warm stage light washes out pale flowers and turns dark reds near black, so ask the AV team for a lighting check or send the florist a photo of the stage.
Table centrepieces
Gala dinner flowers in Bangkok ballrooms are judged seated, at conversation distance, over food. Either stay below about 30 cm from the cloth or rise above 60 cm on a clear stem, so guests can see across a round table. Anything between becomes a wall. Our guide to dinner party flowers applies the same sightline test to a private dining room.
Scent is the other rule. A University of West Georgia survey summarised by UTMB found close to 30 per cent of people find scented products on others irritating, with symptoms usually chemical irritation rather than true allergy. Use unscented roses, orchids, hydrangea and gerbera on tables and keep jasmine for the entrance.
Keep flowers off buffet lines. The WHO's five keys to safer food begin with keeping clean, and loose petals, wet stems and floral foam beside open dishes work against that.
The VIP gift bouquet
A VIP gift goes to a person: a guest of honour, keynote speaker, host or senior client. It is the only placement that travels, so it must be hand-held, finished at the stem and wrapped to be carried to a car. Our hand-tied bouquets come in a matte black wrap with black mesh, which sits quietly against a dark suit or stage. For a ceremonial evening, hamper gift sets pair flowers with a hamper, and the Gold Leaf with hamper suits a gift the recipient takes home. Browse signature designs for VIP gift flowers when you want a composed look.
Scale: how many stems a hotel ballroom actually needs
There is no standard count for corporate event flowers, and anyone who quotes one number for every ballroom is guessing. These are working ranges for budgeting; confirm them against ceiling height, table plan and lighting.
| Placement | Working stem range | Note |
|---|---|---|
| Entrance statement | 60 to 150 stems per arrangement | More if the foyer is double height |
| Registration desk | 15 to 30 stems | Keep it below badge height |
| Stage flank | 80 to 200 stems each side | Scales with stage width |
| Lectern | 10 to 20 stems, or none | |
| Round table of ten | 25 to 60 stems | Low is cheaper; tall is more dramatic |
| Cocktail high table | 5 to 12 stems | Bud vases keep the surface free |
| VIP gift | 10 to 50 roses | Follows seniority and the room |
For a 200-guest gala on twenty round tables, table flowers alone run from about 500 stems (low) to 1,200 (tall). Add the entrance and a pair of stage flanks and a sensible total is 1,000 to 2,000 stems. Most of that is filler and greenery rather than headline flowers.
Two caveats. A ballroom with a six-metre ceiling swallows flowers, so tall pieces matter more there. And repeating one shape and colour across every table looks more expensive than varying them.
Roses by the bouquet
Rose sizes and lead times are fixed, which helps with handovers. A bouquet of 20 white-pink roses is ฿3,299 and suits a speaker or host. For a guest of honour, 50 white-pink roses at ฿5,999 is a presence on stage without being a spectacle.
Lead times: bouquets up to 40 roses can be ordered the same day until 9 pm Bangkok time; 50 roses by 7 pm; 70 and 100 roses need 24 hours' notice; 200 roses 48 hours; 500 roses 48 to 72 hours. For an event you will order far earlier. Treat those windows as the floor, not the plan.
Thai business etiquette for gift bouquets at events
Flowers for business events in Thailand carry less etiquette risk than foreign teams expect, and most of it is in how a bouquet is handed over, not what is in it. Our wider guide to corporate flower gifting in Thailand covers the basics; this is what applies on the night.
- Who presents. Someone at least as senior as the recipient, or the host's most senior person. A junior colleague presenting to a visiting minister reads as a mismatch. Rehearse the handover once.
- How. The wai is a gesture of respect with different heights for different recipients. A presenter holding a bouquet in both hands can offer a slight bow of the head; if the guest holds out a hand, give the bouquet to the hand.
- Where it goes after. Thais regard the head as sacred and the feet as the lowest part of the body, so never put a bouquet on the floor. Ask the banquet captain for a clean table or tray at the guest's seat.
- How big. Flowers brought to a Thai host are described as appreciated rather than required. A very large bouquet in front of a room can leave the recipient feeling they must answer in kind, which is our judgement rather than a rule. Scale it to the occasion and the recipient's seniority.
- Colour. Thai sympathy flowers have their own look, which we describe in our note on phuang reed funeral wreaths. A gift bouquet will not be mistaken for one, but if your palette is all white with a black ribbon, ask a Thai colleague to look at the proposal before it is ordered; it takes two minutes.
- A garland for senior guests. Phuang malai garlands are commonly made of jasmine, marigold and rose, offered at shrines and presented to elders at Songkran. Browse malai garlands paired with gifts and confirm with your Thai team that one suits the guest and the occasion.
A bouquet is a nuisance after the photograph. A guest with a jacket, briefcase and 50 roses has no hand free. Ask the hotel to send it to the guest's car or room after the handover, or have a paper bag and tray ready.
Bangkok hotel loading docks, lead times and the banquet team
Flowers reach a ballroom through a service entrance, goods lift and security desk, and the details differ by property. An event florist in Bangkok who has delivered to your hotel before will know some of this; do not assume it. Get these from the banquet or events manager in writing:
- Loading hours. Some hotels restrict deliveries during meal service.
- Names on the list. Security will want the driver, vehicle and event.
- Lift and dock dimensions. A two-metre arrangement does not fit every service lift.
- Set-up window. The room is rarely free until the previous function has cleared.
- Storage. Ask whether a cool back-of-house room is available and who holds the key.
- Contacts. The banquet captain's mobile and a named person for the stage.
- Clear-down. Who removes vessels, rubbish and foam, and by when.
Traffic surprises overseas teams. Evening traffic on Sathorn Road or Sukhumvit is slow and unpredictable, and a van stuck in it cannot make a 6 pm call time. For a venue in the business district, read our note on flower delivery in Sathorn and plan arrival hours before guests, not minutes.
Heat matters too. NC State Extension recommends conditioning cut flowers in a cool, dark place for one to two hours before arranging. The dock and the van are not air-conditioned, so ask your supplier how the flowers travel and how long they sit before set-up.
Bangkok's flower trade also runs overnight: Pak Khlong Talat is open around the clock and liveliest after midnight, which is why a florist can sometimes help at short notice. That is a rescue, not a plan for a gala.
For cleanliness, ask for sealed vessels, no dripping and no loose petals on tables. Cornell researchers found bacterial diversity in vase water and on stems rose over seven days, a reason to start with clean vases and fresh water on the day.
Branding without the brand: colour-matching a bouquet
Corporate event flowers can carry a company colour without a logo printed on the ribbon, and it looks better. Send your florist the brand guideline page, with the primary and secondary colour values, and accept that a flower never matches a printed ink exactly. The aim is a colour family that sits well beside the signage.
| Brand colour | Flower option | What to watch |
|---|---|---|
| Red | Red roses | Formal; dark red can look black on stage |
| Pink or magenta | Pink roses | Match the tone, blush to bright |
| Orange or amber | Orange roses | Strong; pair with greenery |
| White or silver | White-pink roses, white hydrangea | White-pink is warmer and photographs well |
| Purple or violet | Orchids | Easier to source than purple roses |
| Black or charcoal | Any flowers in our matte black wrap | The wrap carries the brand tone |
Do not dye or spray flowers: colour comes off on hands and cloths and looks synthetic on camera. Carry the exact colour in the wrap, ribbon and card instead; a card with the company mark identifies the sender without a logo on the bouquet.
For a multi-sponsor conference, white, cream and green work with every colour on the sponsor wall. The White Room is a good reference for a restrained all-white design.
A 2014 study of 31 male office workers in Tokyo found that viewing 30 unscented pink roses for four minutes produced higher heart-rate variability and more comfortable feelings than no flowers. It is a small study in one setting and does not show that pink flowers improve a conference. It does support a modest idea: unscented roses in a calm colour are a safe choice for a room where people sit for hours.
Sympathy and congratulations at corporate events
Congratulations
Launches, awards, openings and anniversaries are celebrations. For a new office or shop, our guide to grand opening flower stands in Bangkok explains the tradition of stands from partners, and the grand opening occasion page lists options. For a smaller congratulation, see congratulations flowers in Bangkok.
A good card is specific: "Congratulations on the Sathorn launch. The room looked right" beats "Best wishes for continued success."
Sympathy
If an event coincides with a bereavement, such as a speaker who has lost a relative or a colleague who has died, remove celebratory colours, orange and bright pink especially, and keep to white, cream and green. Do not send a bouquet in place of a Thai funeral wreath; our note on phuang reed funeral wreaths explains who sends them. If the event is a memorial, arrange it with the family or the colleague leading it.
A sympathy card needs fewer words: "Thinking of you and your family" is enough.
A planning timeline from four weeks out
Four weeks is a comfortable lead time for corporate event flowers when there is a stage, a dinner and VIP gifts. Two weeks works for a single room.
| When | What to do |
|---|---|
| 4 weeks out | Confirm date, venue and guest count. Share brand colours and stage design. Get the floor plan and ceiling heights. |
| 3 weeks out | Choose placements and set the budget. Ask the hotel about loading hours and storage. |
| 2 weeks out | Approve design and quantities. Confirm VIP recipients, titles and card text. Send delivery names to hotel security. |
| 10 days out | Lock quantities after the final guest count. Large rose bouquets need 24 to 72 hours, so this leaves a wide buffer. |
| 3 days out | Confirm the run of show: who presents what, to whom. Rehearse the handover. |
| Day before | Walk the room. Re-confirm access, storage, set-up window and the banquet captain's number. |
| Event day | Flowers arrive and are set up well before guests. Cards go on VIP bouquets. |
| After | Agree what happens to the flowers: donate, take home or collect. |
Four weeks matters because the design is still flexible. A colour change at week three is a phone call; at day three it is expensive.
Keep a spare. A damaged bouquet or an unexpected senior guest is easier with one extra hand-tied bouquet at the back of house. A 20-rose bouquet in the event's colour works, added to the main order rather than left to a same-day top-up on the night.
What to brief and what to budget
A good brief for corporate event flowers fits on one page, sent as one message with the floor plan and brand colours.
- Event name, date, times, venue address and room name
- Guest count and seating style: rounds, banquet, theatre or cocktail
- The placements you want covered, and how many of each
- Brand colours, or a palette in words ("cream, white, pale green")
- Stage dimensions, lighting notes and lectern position
- VIP gift list: recipient, title, bouquet size and card text
- Loading dock, hours, lift dimensions and the banquet contact
- What happens to the flowers afterwards
- Scent, allergy or cultural notes from the host
Budget by placement. Entrance and stage take the largest share because they are tall and visible; tables take the most by volume; VIP gifts are cheap per item but expensive to get wrong. Rose prices are set by stem count and are the same for every colour, so you can total the VIP gifts before speaking to anyone. For hampers and cake sets, check the pages, because prices change. For everything else, ask for a line-by-line quote.
Two worked examples
A 180-guest launch dinner at a Sathorn hotel. A software company books four weeks out for a stage, eighteen round tables and three speakers. The brand colour is deep blue, which no rose matches, so the palette is white-pink roses, white hydrangea and green, with a blue ribbon on the VIP bouquets. Three speakers each get 20 roses (฿3,299 each) and the guest of honour gets 50 (฿5,999). The card reads: "For the Sathorn launch. Thank you for opening the evening." The planner sends loading names to security two weeks ahead and agrees a 2 pm dock slot, because the previous function clears the ballroom at 3 pm.
A 60-person partner awards lunch. A trade association hosts on Sukhumvit. No stage flowers; six round tables carry low orchid arrangements, because the lunch is short and orchids hold their shape in a cold room. RHS guidance on moth orchids says to keep them above 16°C, and a Sukhumvit ballroom on full air conditioning stays well inside that. Six winners each receive a bouquet from the chair. The card reads: "Partner of the Year. Your team made the year easier for everyone."
When not to send flowers
Skip corporate event flowers when the venue forbids outside deliveries (some exhibition halls and government venues do, so ask), when guests have declared allergies, or when the event is serious enough that decoration would be out of tone. For a very small meeting, a bouquet on a boardroom table can feel staged.
Frequently asked questions
How far ahead should I order corporate event flowers in Bangkok?
Four weeks suits a full event with a stage and VIP gifts; two weeks works for one room. For rose bouquets alone, 70 and 100 roses need 24 hours' notice, 200 roses 48 hours and 500 roses 48 to 72 hours. Late changes cost more than early ones.
How many flowers does a gala dinner need?
For 200 guests on twenty round tables, a sensible range is 1,000 to 2,000 stems for the whole room, including entrance and stage. Low table arrangements sit at the bottom of that range, tall ones at the top. Ceiling height and lighting change the answer, so confirm against the floor plan.
Can you match our brand colours?
You can match a colour family, not an exact printed ink. Send the brand guideline page and the florist will choose roses, hydrangea or orchids in the nearest tone. Carry the exact colour in the wrap, ribbon or card.
Do I need to tell the hotel about the flower delivery?
Yes. Send the banquet team the florist's name, vehicle and driver, plus the loading time you want. Ask about loading hours, lift size and storage. Some hotels restrict deliveries during meal service, and security will not admit an unnamed visitor.
What is the right way to give a bouquet to a senior Thai guest?
Have someone of equal or greater seniority present it with both hands and a slight bow of the head, and hand it to the guest rather than placing it down. Never put a bouquet on the floor. Have a clean table or tray ready, and offer to send it to the guest's car afterwards.
Should event flowers be scented?
Not on the table. A share of people find scented products irritating, and fragrance competes with the food. Use unscented roses, orchids and hydrangea for dining, and keep jasmine or other fragrant flowers for the entrance or a ceremonial garland, where guests pass rather than sit.
Can FlowerRova supply a stage backdrop or a floral wall?
Our work is hand-tied bouquets, VIP gifts and arrangements, not large installation builds, which belong to an event decorator. For bouquets, welcome gifts and table flowers, ask us on LINE or WhatsApp with your floor plan and we will say what fits.
