Weekly Flower Contracts for Bangkok Hotels: How They Are Priced and Run

Lobby, restaurant, spa and suites each have different requirements. What a hotel flower contract should include, and where they usually go wrong.

Hotel flower contracts are the least romantic part of the florist trade and one of the most demanding. The flowers have to look correct at 7 am every day, in a lobby with forty-degree glass on one side and aggressive air conditioning on the other, for a fixed monthly fee.

Here is how these arrangements actually work, written for the person who has to sign one.

What a contract normally covers

Lobby. The flagship. Usually one or two large arrangements, refreshed twice weekly, occasionally more in a high-traffic property. This is where most of the budget goes and it should.

F&B outlets. Restaurant and bar arrangements, plus table posies if the property uses them. Table flowers are the highest-labour, highest-attrition item in any contract — small, numerous, and replaced constantly.

Spa and wellness. Lower volume, specific requirements: usually unscented, because a scented arrangement conflicts with treatment oils.

Suites and VIP turndown. Ad hoc, triggered by arrivals. This should be priced per unit, not bundled, because volume is unpredictable.

Events. Almost always separate and quoted per event. Do not let a supplier fold event work into the retainer.

How pricing works

Contracts are priced on replacement frequency × arrangement size × outlet count, plus a labour rate for the on-site refresh.

The honest structure is a monthly retainer covering a defined scope, with a separate schedule of rates for anything outside it. What you want to avoid is a single number covering unlimited scope, because the supplier will manage that by degrading quality — smaller arrangements, cheaper stems, longer intervals — rather than by asking for more money.

Expect to pay meaningfully more for a lobby arrangement in a hotel than the same arrangement retail. The premium covers on-site labour, delivery windows before guests are up, and the guarantee that it looks right on a public holiday.

Where hotel contracts go wrong

Undefined refresh frequency. "Twice weekly" needs to specify which days and what "refresh" means — full replacement, or removing failed stems from an existing arrangement. These are very different costs.

No allowance for the rainy season. Thai flower quality genuinely varies from June to October. A contract with a fixed spec and no seasonal substitution clause forces the florist to either lose money or substitute silently. Build the flexibility in explicitly.

Ignoring the aircon. Lobby arrangements sitting under a vent fail in half the expected time. This is a placement problem the florist cannot solve, and it turns into an argument about quality. Agree placements at the start.

No named contact on either side. Hotel flower complaints arrive through the duty manager at 8 am. If there is no direct line to the florist, nothing gets fixed that day.

Bundled event work. As above. It distorts the retainer and creates disputes.

What to ask a prospective supplier

  • What time do you deliver, and who lets you in? Before 7 am, every time, is the only correct answer for a lobby.
  • Who buys, and when? Daily market buying versus weekly wholesale delivery is the difference between arrangements that last the interval and ones that do not.
  • What happens on Songkran and New Year? These are the weeks contracts fail.
  • Can we see a property you currently service? The only question that really matters.
